Business Intelligence is a reporting tool that allows users to view account and transaction details. To obtain access to the system, first attend the Business Intelligence Report Training offered by the University Center for Training and Development, then complete the.   • How do I sign on to Business Intelligence?

  • If I try to sign on to BI but discover I do not have access who should I contact?

    You should first attend BI training. Please contact the University Center for Training & Development for a schedule of training sessions. If you have completed training and still don't have access then please contact our Security Administrator 鈥 Connie Naccarato (x72938).

  • How can I determine what my SUNY account numbers are?
    One option is to use the Reporting Structure within the Reference Dashboard to search for your department. Alternatively, the Chart of Accounts, also within the Reference Dashboard may be used. Details are available on pages 16 and 18 of the .
  • I'm in the Business Intelligence Account Summary dashboard but some of my revenue data is missing. Where is it?
    If an IFR, SUTRA, or DIFR-IFR account is not sub accounted then all revenue will post to the parent account (xxxxxx-00). However if the account has been sub accounted, then all revenue will post to the xxxxxx-99 sub account. To view total revenue data make sure you use the six digit account number (excluding the two digit suffix) then click 'Apply' in Business Intelligence (BI).

    If you have sub accounted after the fiscal year has begun, call the Accounting office for more help on how to view revenue data in BI.
  • Where are the revenue transaction descriptions in BI?

    The SUNY Financial System added transaction descriptions for deposits, revenue adjustments, and balance transfers in June 2019. Previously this information was not available.
     
    Prior to June 2019, Revenue transactions with a From Date (right click to include column) and Liability Date covering a 15-day revenue cycle is deposit activity for which you can get more detail from the revenue web application. For example, if the From Date is 6/30/19 and the To Date is 7/15/19, access the revenue web application IFR Account module and select the associated account and revenue cycle to view the individual transactions which tie out with the BI posting.
     
    When the From Date (right click to include column) and Liability Date are only one day apart (for example, From Date is 7/10/19 and Liability Date is 7/11/19) this is a balance transfer or revenue adjustment requested by a department. These are manual entries processed by the Accounting office and an email confirmation is sent to the department representatives upon completion of the transaction. Keep these confirmation emails to assist in reconciling your account. The also contains a brief description and can assist in identifying transactions.

  • Why is BI not working properly/why is some of my information missing?

    BI was upgraded to work with Internet Explorer (IE) version 11, but it is suggested that you use either FireFox or Google Chrome.

  • Why does the summary amount in Account Summary not match the detailed drill down?

    When transactions are processed (revenue, disbursements, fringe, overhead), the summary amounts are updated in real time. However, the transactional level detail must complete a load process, which takes 2-3 business days. If the difference does not resolve over the course of a full business week, please reach out to Faith Rittenburg.

  • Why is the Temp Service (TS) Full Time Equivalent (FTE) field 0.00? How can I get this information?

    The field uses a formula that is calculating incorrectly. Jeanne Ball has created a Payroll Transaction Dashboard, which contains this information. The dashboard is available to anyone with analysis access. FTE information is not available for extra service, holiday/overtime, or unassigned PSR detail objects.

  • Why are payroll items missing from payroll detail?

    Occasionally transactions for payroll items with type 鈥淔EE鈥 do not post in Finance Payroll. If this happens, they will not show at the employee detail level in Account Summary payroll detail or the Payroll Search dashboard. These items are included under Account Summary in the total summary payroll amount and in the document detail drill down. The account鈥檚 cash balance is not impacted by this error.

  • Why does my account show a balance for PY Encumbrances if everything was disencumbered during lapsing?

    This is a reporting error in BI. It does not affect the Ending Cash Balance field, but is included in the calculation for Uncommitted Balance. 

  • Why does the Account Summary cash reporting for my IFR look different in the year it was sub-accounted?
    Transactions that originally posted to the master account (-00) will continue to only report under the master account. Please contact Faith Rittenburg if you need assistance.
