You will only receive an email notification when there is an "action" you must take.
Examples:
- Email to the PI/Authorized Signatory should you not be the one submitting the original form
- Email to the Additional Approver (if applicable) should the person completing the form enter a name into this field.
- Email back to the Originator should Human Resources (HR) need updated information within the form. Note, if the Originator and PI/Authorized Signatory are the same person you will you will receive one email in this step. Once corrected you will resubmit the form. If the Originator and PI/Signatory are different, each person within the approval chain will get an email to approve the e-form again (to include the Additional Approver if applicable).
- Email to the Originator, PI/Authorized Signatory (if different) and Additional Approver (if applicable) once the form has been "processed" by HR (note: processed in this case means the form has been input into our HR Information System (Oracle). This then allows other new hire actions to be taken such as requesting a B#, requesting a Bmail, etc. These are separate actions that take place after the employee has been "processed".
If a form has been sent back for updates and is not corrected and sent back to Human Resources before our published deadlines you may experience a delay in the form being processed.
PI/Authorized Signatory State
At the PI authorized signatory state you will need to take action by clicking on the link within the e-mail.
Originator or PI/Authorized Signatory Rejected State
You may receive a rejection e-mail if the HR department requires more information to approve the appointment form. A comment will be made by the HR department with the information needed.
Processed Email (Originator, PI/Authorized Signatory, Additional Approver)
Once you receive a processed e-mail, the appointment form has been inputted by the HR department and the employee is scheduled to be paid.
