  • How to obtain your B-Number and B-Mail account

    Your information will be entered into the SUNY HR system once your New Hire Packet is completed and your I-9 documents have been presented to our office. After these steps are finalized, a B-Number will be generated for you.

    Please note that the creation of a B-Number typically takes a few overnight processing cycles, and the exact timing is outside of our control. Our team monitors the system frequently.

    Once a B-Number has been assigned, we will submit a request to ITS to activate your B-Mail account. Both you and your supervisor will receive an email from our office confirming that the B-Mail request has been submitted. After your account is fully set up, ITS will contact you directly with login details.

  • When You Will Receive Your RF ID

    Your RF ID is a unique employee identifier assigned by the Research Foundation. It is typically a six-digit number and is required to access your to enter your direct deposit, adjust your tax withholdings, enter your timecards, enroll in benefits and change personal information. Your RF ID will be generated once all of your hiring paperwork has been fully processed.

    You will first receive a 鈥淧rocessed鈥 email containing your appointment details. Within 24 hours of that message, you will receive an automated email that includes your RF ID.

    If you do not receive this email鈥攐r if you have forgotten your RF ID鈥攑lease contact our office at (607) 777-4265. For security reasons, RF IDs are not provided via email; you will be asked to verify your identity before we can share your RF ID over the phone.

  • How to Obtain Your Employee ID Card

    Employees are provided an Employee ID card through 91社区. Employee ID cards can be obtained at the Admissions Office after you have received access to your B-Mail account.

  • How to Access and Complete Your Timecards

    At the beginning of your employment, you will receive an email from HR with information on how to create timecards. All Research Foundation employees (with the exception of salaried graduate students and faculty collecting summer salary) are required to use E-Time for completing their timecards. E-Time can be accessed through the .

    • Non-Exempt Employees (Salaried and Hourly)

      Non-Exempt employees (both salaried and hourly) are required to complete a timecard every two weeks following the end of a pay period (payday) recording time worked during that period.

      Times must be logged in HH:MM format, include AM or PM indicators, and be rounded to the nearest quarter hour increment (i.e., 08:00am or 12:30pm). For any shifts where an employee is working more than six hours, an unpaid meal break of at least 30-minutes must be taken and this break in work must be reflected on their timecard.

      Note: For Hourly employees, timecards must be submitted and approved by their supervisor in time for our processing deadlines to be paid on the upcoming payday. Late timecards will not be processed for payment until the next pay cycle.

      Payroll Deadlines

    • Exempt Employees

      Exempt employees, are required to complete a timecard at the end of each month. Exempt employee timecards are completed as leave records. Employees are only required to record their time away from work during their normal work schedule on their timecards.

      One full day away from work is logged as 1, while partial days away from work are logged in quarter day increments (i.e., .25, .50, .75).

      If no time away from work was taken during a given month, the blank timecard must still be submitted for our timekeeping records.

  • When You Will Get Paid

    Payroll is issued every two weeks. Non-Exempt and Exempt salaried employees are paid on a current schedule. On payday, they are paid for their time worked in the two weeks leading up to the payday. Hourly employees are paid on a delay (or lag) schedule. On payday, they are paid for their time worked in the two weeks leading up to the prior payday.

    Reminder: Hourly employees must have their timecards submitted and approved by their supervisor in time for our processing deadlines to be paid on the upcoming payday. Late time timecards will not be processed for payment until the next pay cycle.

    • General Guidelines:
      • For Non-Exempt (salaried) and Exempt Employees:

      If your onboarding packet has been completed and your I-9 documents have been presented to our office prior to the payroll deadline, you will be paid on the first payday following your start date.

      • For Hourly employees

      If your onboarding packet has been completed and your I-9 documents have been presented to our office prior to the payroll deadline, you will have access to submit a timecard for the first pay cycle in which you work, and will be paid for the time worked on the following payday.

      Note: We review each appointment form as it is submitted. If additional information is required from your supervisor, processing of your appointment may be delayed until that information is received.

  • Paid Time Off and Accrual Information

    The Research Foundation recognizes that it is important for employees to have a healthy work-life balance. Eligible employees earn accruals for vacation, sick, holiday, parental and personal time.

    • PTO Sick

      Employees will begin accruing PTO Sick on their first day of work and it is available for use immediately.

      Eligibility
      Employees are eligible to accrue PTO sick as of their first day of employment, unless they are:

      • Assigned a student title(s): Research Project Assistant, Project Instructional Assistant, Research Aide, Senior Research Aide, or Camp Counselor 鈥 Student; or
      • Assigned to an extra service appointment.

      Use

      PTO sick may be used to provide income replacement when an employee is absent from work due to:

      • an employee鈥檚 mental or physical illness, injury, or health condition;
      • for the diagnosis, care or treatment of an employee鈥檚 mental or physical illness, injury or health condition;
      • an employee鈥檚 need for medical diagnosis or preventative care.
      • Bereavement

      Annual Accrual Rollover

      • 1,687.5 hours if based on 37.5 hour week
      • 1,800 hours if based on 40 hour week OR
      • 225 days
    • PTO Vacation

      Employees will begin accruing PTO Vacation on their first day of work, however it is not available for use until 6 months of service.

      Eligibility
      Salaried employees appointed at a minimum of .5 full time equivalent (FTE) are eligible to accrue PTO vacation unless they are:

      • Within the first six months of their date of hire. (Eligible employees will be credited with vacation accruals, based on their FTE and rate, from their date of hire, upon completion of six months service.)
      • Appointed for the summer only.
      • Assigned a student title(s): Research Project Assistant, Project Instructional Assistant, Research Aide, Senior Research Aide, or Camp Counselor 鈥 Student.
      • Employees who by nature of their work assignment are in positions designated as non-accruing in accordance with RF guidelines; that is, employees whose work schedule corresponds to a primary or secondary school schedule.

      Use

      The RF recommends that each eligible employee be encouraged to take vacation accruals for rest and relaxation during the year if vacation accruals are available.

      Annual Accrual Rollover

      • 300 hours if based on 37.5 hour week
      • 320 hours if based on 40 hour week OR
      • 40 days
    • PTO Holiday

      An employee who is scheduled to work on a holiday will be granted equivalent holiday PTO. Holiday PTO accruals do not populate until the date of the holiday. Once the holiday has arrived, the Holiday PTO accrual will be reflected within your PTO balances and available for use on your timecard.

      Eligibility
      Employees with a regular work schedule on file are eligible to receive holiday PTO (with the exception of students). Part-time employees must have a work schedule on file with RF Human Resources in order to be eligible for holiday accruals.

      Use

      Employees should be encouraged to use accrued PTO holiday within a reasonable period of time (ex. within 1 calendar year).

      Annual Accrual Rollover

      • Unlimited
    • PTO Personal

      PTO personal is credited on the date of hire and is available for immediate use.

      Eligibility
      Only salaried employees who are appointed to a minimum of .5 FTE and hold positions in the Clerical and Office Support, Technical and Research Specialists Salary Structure () are eligible for PTO personal as outlined in the chart unless they are:

      • appointed for the summer only, or
      • assigned a student title(s): Research Aide or Senior Research Aide, or
      • employees who by nature of their work assignment are in positions designated as non-accruing in accordance with RF guidelines; that is, employees whose work schedule corresponds to a primary or secondary school schedule.

      Use

      Employees should be encouraged to use accrued PTO holiday within a reasonable period of time (ex. within 1 calendar year).

       

      Annual Accrual Rollover

      • No carry-over. Will reset annually on employee anniversary.
  • When You Will Receive Benefits Information

    Within two weeks of receiving your RF ID, you will receive an email from our Benefits team with your enrollment information, if you are eligible. You will also be offered a Benefits Orientation with our Benefits Specialist, who will provide a comprehensive overview of the benefits available through the Research Foundation.

    Most benefits include a 28-day waiting period before they begin, and you will have 60 days from your start date to complete your enrollment.

    Once you have enrolled, please allow 1 week for information to transfer from our system to the insurance carriers, and up to 2 weeks for insurance cards to be issued. If you do not receive your insurance cards, please review the Insurance Card Access document to obtain your cards electronically.

  • Retirement Credit for Prior SUNY Service

    You may be able to receive credit for prior SUNY service in meeting service requirements for participation and vesting in the RF retirement plan. In order to ensure that any eligible service is counted, please make sure to complete the  within 30 days from your employment start date. If the form is not completed in a timely manner, contributions will only be given on future appointments, if any.
